EEBOOTHS Terms & Conditions

These Terms & Conditions apply to all bookings, payments, services and purchases made with EEBooths through our website, email, telephone, WhatsApp, invoice, Stripe checkout, payment link, bank transfer or direct booking arrangement.

By making a booking, paying a non-refundable deposit, paying in full, accepting a quote, confirming an event date, or using our services, the Client agrees to these Terms & Conditions.

EEBooths provides photo booth hire, 360 photo booth experiences, selfie booth services, event media, digital galleries, school and nursery photography services, prom packages, corporate activations, wedding services, party services and related event media services.

1. Definitions

In these Terms & Conditions:

“EEBooths”, “we”, “us”, “our” or “Supplier” means the provider of the service.

“Client”, “you” or “your” means the person, school, nursery, company, organisation, venue, event organiser or customer making the booking.

“Service” means the photo booth, 360 booth, photography, media, digital gallery, event service, booking package, hire package, digital product or related service supplied by EEBooths.

“Event” means the date, venue, location and hire period agreed between EEBooths and the Client.

“Non-Refundable Deposit” means the payment required to secure the booking, reserve the event date, allocate equipment and staff, and cover administration and preparation.

“Balance” means the remaining amount due after the non-refundable deposit or initial payment has been made.

“Agreement” means these Terms & Conditions together with the booking confirmation, invoice, email confirmation, payment confirmation, quote, written agreement or checkout confirmation issued by EEBooths.

2. Booking Confirmation

A booking is only confirmed once EEBooths has received the required non-refundable deposit or full payment and has issued written confirmation by email, message, invoice, receipt or booking confirmation.

Until payment has been received, the date and time are not guaranteed.

The Client is responsible for checking that all booking details are correct, including the event date, venue address, start time, finish time, package selected, contact details and any special requirements.

Any changes must be agreed in writing by EEBooths.

3. Non-Refundable Deposit

A non-refundable deposit is required to secure your booking with EEBooths.

Your booking is only confirmed once the non-refundable deposit or full payment has been received and EEBooths has issued written confirmation.

The non-refundable deposit secures your event date, reserves equipment, allocates staff, covers administration, planning and preparation time, and may prevent EEBooths from accepting another booking for the same date and time.

For this reason, the deposit is non-refundable if the Client cancels the booking, except where EEBooths is legally required to refund it or where EEBooths agrees otherwise in writing.

The deposit amount will be shown on the quote, invoice, checkout page, payment link or written booking confirmation.

4. Prices

All prices are shown in pounds sterling.

Prices may vary depending on the package, location, date, event type, booking duration, travel distance, setup requirements, additional services, premium options, special requests and promotional offers.

Any promotional price, discount or special offer must be confirmed in writing by EEBooths.

Promotional offers cannot be combined unless agreed in writing.

Prices may be updated at any time, but confirmed bookings will be honoured at the agreed confirmed price unless the Client changes the booking or requests additional services.

5. Payments

Payment may be made through our website, Stripe, payment link, bank transfer, invoice, cash by prior agreement, or another approved payment method.

The remaining balance must be paid no later than 14 days before the Event unless otherwise agreed in writing.

Bookings made within 14 days of the Event may require full payment immediately.

Promotional bookings, special packages and discounted offers must be paid in advance unless EEBooths agrees otherwise in writing.

If the balance is not paid on time, EEBooths may treat the booking as cancelled by the Client and the non-refundable deposit will be retained.

Where cash payment has been agreed, payment must be made before setup begins. EEBooths is not required to start setting up or provide the service until payment has been received.

6. Secure Card Payments

Card payments may be processed securely by Stripe or another approved payment provider.

EEBooths does not store full card numbers, CVV numbers or complete card payment details.

The Client’s payment information is handled through secure payment systems. Payment confirmation details may be stored for booking, accounting, tax, dispute-resolution and customer service purposes.

7. Cancellation by the Client

All cancellations must be made in writing by email to:

The non-refundable deposit will be retained if the Client cancels because it secures the event date, reserves equipment and staff, covers administration and preparation time, and may result in EEBooths losing the opportunity to accept another booking.

Unless otherwise agreed in writing, the following cancellation terms apply:

– Cancellation more than 14 days before the Event: the non-refundable deposit is retained and no further balance is due, unless bespoke work, custom design, printing, staffing, travel, special preparation or third-party costs have already been completed or committed.

– Cancellation 7–14 days before the Event: the non-refundable deposit is retained and up to 50% of the total booking value may be payable.

– Cancellation less than 7 days before the Event: the non-refundable deposit is retained and up to 100% of the total booking value may be payable.

– Cancellation on the day of the Event: the non-refundable deposit is retained and 100% of the total booking value is payable.

If the Client fails to provide access, gives incorrect event details, refuses setup, fails to pay, or prevents EEBooths from delivering the service, this may be treated as a same-day cancellation.

8. Rescheduling

A request to change the event date or time must be made in writing.

EEBooths will try to accommodate date or time changes where possible, but changes are subject to availability.

If the new date is unavailable, the original cancellation terms may apply.

Additional charges may apply where a date change creates extra travel, staffing, printing, admin, equipment, peak-date or setup costs.

9. Cancellation by EEBooths

If EEBooths is unable to provide the agreed service due to circumstances within our reasonable control, we will offer one of the following:

– a suitable replacement service where available;

– a rescheduled date where possible;

– a refund for the service not provided.

EEBooths will not be liable for indirect losses, loss of profit, emotional distress, loss of enjoyment, third-party costs or additional compensation beyond the amount paid for the affected service.

Nothing in these Terms & Conditions affects your statutory rights.

10. Event Access and Setup Requirements

The Client must provide safe and suitable access to the venue and setup area.

Unless otherwise agreed, EEBooths requires access at least 1.5 hours before the service start time for setup.

The Client must provide:

– a clean, safe, dry and level setup area;

– a minimum clear working space suitable for the booked booth or package;

– a nearby standard 240V mains power socket;

– safe access for loading and unloading;

– permission from the venue for EEBooths to set up;

– a named contact person available on arrival;

– suitable parking or loading arrangements;

– shelter and protection for outdoor events.

For most booth setups, a clear space of at least 2.5m x 2.5m is required. Larger packages, 360 booths, backdrops, red carpets, barriers, media walls or premium setups may require up to 3m x 3m or more.

If the space is too small, unsafe, uneven, wet, blocked or unsuitable, EEBooths may be unable to provide the full service and no refund will be due where the issue is caused by the Client, venue or event conditions.

11. Parking, Travel, ULEZ, Congestion Charge and Venue Costs

The Client is responsible for providing suitable parking, loading access and unloading access for the duration required.

Any parking charges, hotel parking charges, venue loading charges, fines caused by incorrect information, ULEZ charges, Congestion Charge, tolls or other event-related access charges may be charged to the Client where applicable.

London driving charges are charged at the rate set by Transport for London or the relevant authority at the time of the Event.

12. Delays

If EEBooths is delayed because of traffic, accident, severe weather, emergency, venue restrictions or circumstances outside our reasonable control, we will make reasonable efforts to provide the service as soon as possible.

If EEBooths is delayed because of the Client, venue, incorrect information, late access, no parking, unpaid balance, blocked setup area or lack of power, the booking time will not automatically be extended.

Late start caused by the Client or venue does not entitle the Client to a refund.

13. Hire Time and Overtime

The hire period will run for the agreed booking time.

EEBooths will normally give notice before closing the booth service.

Overtime is subject to staff and equipment availability and must be agreed with EEBooths.

Unless otherwise agreed, overtime may be charged as follows:

– up to 30 minutes: £50;

– up to 1 hour: £100;

– additional hours: by agreement.

Overtime must be paid before the additional time is provided unless agreed otherwise.

14. Outdoor Events

Outdoor events must have suitable cover, shelter, weather protection and safe flooring.

Booths and electrical equipment cannot be used in unsafe weather conditions, heavy rain, high wind, wet ground or any condition that could create risk to people, equipment or staff.

Weather-related cancellations are not accepted unless agreed in writing.

If the Client books an outdoor setup and suitable weather protection is not provided, EEBooths may refuse setup or stop the service for safety reasons. No refund will be due where the issue is caused by unsuitable outdoor arrangements.

15. Client Responsibilities

The Client is responsible for:

– providing accurate event details;

– making payment on time;

– ensuring the venue allows the service;

– providing safe access and setup space;

– providing suitable power;

– arranging parking and loading access;

– supervising guests where necessary;

– ensuring children are accompanied where required;

– preventing misuse of equipment;

– preventing damage caused by guests;

– ensuring the event environment is safe for EEBooths staff and equipment.

Children under 10 should be supervised by a responsible adult when using the booth or equipment.

16. Conduct and Safety

EEBooths reserves the right to pause, restrict or stop the service where there is:

– abusive behaviour;

– threatening behaviour;

– unsafe conduct;

– damage or risk of damage to equipment;

– intoxicated or disorderly guests;

– misuse of props or equipment;

– unsafe crowding;

– venue risk;

– electrical risk;

– safeguarding concern;

– any situation that may put staff, guests or equipment at risk.

Where service is stopped due to the conduct of the Client, guests, venue or third parties, no refund will be due.

17. Damage to Equipment

The Client is responsible for loss, damage or theft caused by the Client, guests, venue staff or third parties connected with the Event.

The Client agrees to pay the full repair, replacement, cleaning or recovery cost where damage is caused by misuse, negligence, deliberate action, unsafe behaviour, spillages, theft or failure to supervise guests.

18. Service Performance and Technical Issues

EEBooths will use reasonable skill and care to provide the agreed service.

Because photo booth and media services involve technology, printers, cameras, software, power supplies, internet connections and venue conditions, occasional technical issues may occur.

Where a technical issue occurs, EEBooths will take reasonable steps to resolve it.

If a printer issue occurs, EEBooths may provide digital images and/or arrange reprints where possible.

If a camera, software, power or equipment issue materially affects the service, EEBooths may provide a reasonable partial refund at its discretion, depending on the nature and length of the issue.

EEBooths will not be responsible for technical problems caused by the venue, Client, power failure, poor internet, unsafe setup area, incorrect access, guest misuse or circumstances outside our reasonable control.

19. Images, Videos and Digital Content

EEBooths may capture photographs, videos, GIFs, 360 videos and other digital content during the Event as part of the booked service.

Digital content may be used to provide prints, downloads, galleries, guest books, albums, digital files and other agreed services.

Unless otherwise agreed, copyright and ownership of digital content remains with EEBooths.

The Client receives permission to use supplied images and videos for personal, event, school, nursery, internal business or agreed promotional purposes, depending on the booking type.

Images and videos must not be resold, licensed, commercially exploited, edited in a misleading way or used unlawfully without written permission from EEBooths.

20. Marketing Use of Images

EEBooths may use selected event images or videos for portfolio, website, social media, advertising or promotional purposes unless the Client opts out in writing before the Event.

For schools, nurseries, children’s photography and safeguarding-sensitive events, EEBooths will only use images in line with the relevant consent, safeguarding expectations and written arrangements.

21. Image Storage and Deletion

Unless otherwise agreed, event images and digital files may be deleted after 14 days.

VIP galleries, nursery galleries, school galleries or extended storage services may have separate agreed storage periods.

The Client is responsible for downloading, saving and backing up any delivered images within the access period provided.

EEBooths is not responsible for loss of images after the stated storage or gallery access period has expired.

22. VIP Galleries, Digital Downloads and Online Access

Where a VIP gallery or online gallery is provided, access may be protected by a code, password or private link.

The Client is responsible for keeping access details safe and sharing them only with authorised people.

Digital downloads, gallery access and online image services are provided for the agreed period only.

23. Schools, Nurseries and Children’s Photography

For schools, nurseries and children’s photography, the Client or organisation is responsible for ensuring the appropriate consent, safeguarding arrangements and permissions are in place unless EEBooths has separately agreed to manage a specific part of that process.

EEBooths will take reasonable care when handling children’s images and related information.

Images of children will not knowingly be used for public marketing without appropriate consent.

24. Refunds

Refunds are considered in line with these Terms & Conditions and the circumstances of the booking.

The non-refundable deposit is non-refundable if the Client cancels, except where EEBooths is legally required to refund it or where EEBooths agrees otherwise in writing.

Approved refunds will normally be returned to the original payment method where possible.

Refund times may depend on the payment provider, bank or card issuer.

No refund will be due where EEBooths is prevented from delivering the service because of incorrect details, venue refusal, unsafe conditions, lack of access, no power, no parking, unpaid balance, Client cancellation, guest behaviour, weather-related outdoor issues or circumstances caused by the Client, venue or third parties.

25. Complaints

Any complaint must be raised as soon as possible, preferably during the Event, so EEBooths has the opportunity to resolve the issue.

If the issue cannot be resolved during the Event, complaints must be emailed to:

Complaints should include the Client’s name, event date, booking details and a clear explanation of the issue.

EEBooths will review complaints fairly and respond within a reasonable time.

26. Customer Information and Privacy

EEBooths collects and uses customer information to manage enquiries, bookings, payments, event delivery, galleries, customer service, legal obligations and business records.

Payment information is processed securely through approved payment providers such as Stripe.

Full card details are not stored by EEBooths.

27. Website Use and Online Orders

When using our website, the Client agrees not to misuse the website, attempt unauthorised access, submit false information, interfere with checkout systems or use the website for unlawful purposes.

EEBooths may refuse, cancel or refund any order where there appears to be fraud, incorrect pricing, incorrect product setup, website error, suspicious activity or misuse of the booking system.

28. Promotions and Special Offers

Promotional offers are subject to availability and may be withdrawn at any time.

Promotion terms must be followed exactly.

A promotional booking may require full payment in advance.

Promotional prices may not include extras, overtime, travel, parking, ULEZ, Congestion Charge, guest book, custom branding, premium props, additional prints, gallery upgrades or other add-ons unless clearly stated.

29. Limitation of Liability

EEBooths will not be liable for indirect losses, loss of profit, loss of business, loss of opportunity, emotional distress, disappointment, third-party costs, venue costs or consequential loss.

EEBooths’ total liability is limited to the amount paid by the Client for the affected service.

Nothing in these Terms & Conditions limits liability where it would be unlawful to do so.

30. Force Majeure

EEBooths will not be liable for failure or delay caused by events outside our reasonable control, including but not limited to severe weather, fire, flood, accident, road closure, traffic incident, illness, pandemic, strike, power failure, venue closure, government restriction, civil unrest, emergency, equipment failure, supplier failure or any event beyond reasonable control.

Where possible, EEBooths will try to offer a reasonable alternative, replacement, reschedule or partial remedy depending on the circumstances.

31. Third Party Rights

No person who is not a party to this Agreement has rights under the Contracts (Rights of Third Parties) Act 1999 to enforce any term of this Agreement.

32. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any dispute shall be subject to the jurisdiction of the courts of England and Wales.

33. Agreement at Checkout

By completing a booking, making payment or confirming an event with EEBooths, the Client confirms that they have read, understood and agreed to these Terms & Conditions and the EEBooths Privacy Policy.

The Client also confirms that they understand the deposit is non-refundable because it secures the event date, reserves EEBooths equipment and staff, and covers administration, planning and preparation costs.
